Staff & Accounts

Give each team member their own login so every transaction is tied to a named staff member. SnapOS supports PIN-based staff logins and quick QR code sign-in for shared devices.

Your Business Code

Every SnapOS business has a unique 6-character Business Code, found in Settings → Business. Staff need this code when joining the business on a new device. Share it only with trusted team members.

Adding a Staff Member

    Go to Settings → Staff

    The Staff screen lists all accounts linked to your business. Tap the + button (top-right) to invite a new member.

    Enter their details

    Provide the staff member's name, email address, and role (Admin or Cashier). Optionally set a 4–6 digit PIN for quick in-app login.

    Staff joins on their device

    The staff member opens SnapOS, taps 'Sign in as Staff', enters the Business Code, and logs in with their email or PIN.

Admins can access all settings including business details, staff management, and financial reports. Cashiers can process sales and view basic reports only.

Staff Roles & Permissions

    Admin

    Full access: manage items, categories, customers, reports, cash register, settings, and other staff accounts.

  2. 2

    Cashier

    Restricted access: process POS sales, view today's transactions, open/close register, and print receipts. Cannot access business settings or full reports.

💡

Assign the Cashier role to part-time or seasonal staff to limit their access to sensitive business data.

PIN Login

    Set a PIN for a staff member

    When creating or editing a staff account, enter a 4–6 digit PIN. The staff member can also change their own PIN from Account Settings.

    Signing in with a PIN

    On the login screen, tap 'Use PIN'. Enter the Business Code (if prompted) and then the PIN. This is faster for cashiers on shared POS tablets.

QR Code Login

    Admin generates a QR session

    In Settings → Staff, tap the QR icon next to a staff member's name. A temporary QR code appears on screen (valid for 5 minutes).

    Staff scans the QR code

    The staff member opens SnapOS on their device and taps 'Scan QR to Sign In'. Point the camera at the admin's screen. They are logged in instantly — no password needed.

💡

QR login is ideal for onboarding a new cashier quickly at the start of a shift without sharing passwords.

Editing or Removing Staff

    Edit a staff member

    Tap the pencil icon next to their name in the Staff list. You can update their name, role, email, or PIN.

  2. 2

    Remove a staff member

    Tap the trash icon and confirm. The staff member's account is deactivated — they can no longer sign into your business. Their historical transactions remain in your records.

Your Own Account

    Go to Settings → Account

    Update your own display name, email address, and profile photo.

  2. 2

    Change your password

    Scroll to the 'Change Password' section, enter your current password and your new one, then tap 'Update Password'.

  3. 3

    Sign out

    Tap the logout option in the mobile menu (three-dot icon in the top navigation) or in the sidebar footer on desktop.
